INFORMATION WE COLLECT
We collect information from individuals allowing them to sign into our applications and from businesses, organizations, and individuals who request information from us. To receive information from us, you must provide a valid email address. We also collect optional phone and address information.
To sign into our application, you must provide a valid email address and your first and last names. Your first and last names are displayed to other Users when you post messages on the Site as well as on pages showing contact information. See the “Contact Information” section below for additional details. You must also create a password that is stored in such a way that we cannot know its value. We allow Members to upload a picture, although it is not required to do so.
INFORMATION WE COLLECT ON BEHALF OF CUSTOMERS
The SquadFusion Site collects information on behalf of the organization (“Customer”) in which a Participant is participating. The information is for use by the Customer. SquadFusion acts as an agent in collecting information from Members for the Customer. We provide Customers the ability to specify what information to collect. We present this information in a variety of formats to other Users, who are placed into various groups according to their function (“Roles”). Customers control which information is available to each Role. Typical personal information collected on the Site on behalf of Customers includes first name, last name, phone number, email address, mailing address, age, birthdate, school, and grade. The Site also allows Members to upload pictures of themselves and of Participants.
CONTACT INFORMATION SHARING
Customers create groups of Participants, referred to in this Policy as “Squads.” In addition to Participants, Squads can consist of other Members who manage and assist with Squad activities. Contact information can be presented at both an overall Squad level and for each Squad Participant and Member. Contact information typically consists of names, addresses, phone numbers, and email addresses, although Customers may collect additional or less data. For Participants who are minors, we provide the ability to associate parent and/or guardian contact information with the Participant.
Customers decide how much, if any, information to make available to other Members within and outside the Participants’ Squads. Customers also decide how much information to make available to non-Member Users, or Users who do not sign in to the application. While the final decision about what to share lies with the Customer, the application is designed to promote smoother event planning and communication amongst the Members of a Squad. Therefore, you should expect at least some contact information you submit to be shared with other Members of your Squads.
In addition to Squads, we provide the ability for Customers to provide organization-wide contacts and a listing of their staff. These are typically people who manage and assist with management of the organization as a whole as well as individual Squads. The contact information is the same as the Squad contact information above. The organization staff listing consists of names and organization titles. Customers choose who to provide as contacts and who to include on their staff. While not required and ultimately decided by Customers, if you act in such capacity for an organization, you should be aware your name and possibly your contact information may be displayed to Users who are not Members of the organization, and are not required to sign in.
SquadFusion will not share your information with anyone other than authorized Customer administrators beyond the Customer settings unless otherwise specified in this document. We will only share information if we must do so to complete a requirement, such as providing your email address to our payment provider if you choose to make payments through the application (see “Credit Cards,” below for more information).
We do not sell your personal information to third parties.
ACCESSING AND UPDATING PERSONAL INFORMATION
Members can access and update their personal information and that of minors to whom they are a parent or guardian. User information can be accessed and updated on the User Profile, available from every page once User has signed into the application. You can update your name. You can update or remove your address, phone number, and profile picture. Because your email address is used to validate your account, you must contact as at email@example.com if you wish to change your email address.
Other Participant-related information can be accessed and updated from your application Home page. The Home page contains a list of all Participants whose information you can update. Those Participants can be you or those to whom you are a parent or guardian. The exact Participant information used by your organization is determined by the Customer. The Customer also determines what information is required, and therefore cannot be removed. All Participant information can be changed.

COOKIES AND OTHER TECHNOLOGIES
Similar to many commercial websites, we utilize “cookies” and other technologies to collect non-personally-identifiable information from the Site. Cookies are a feature of web browser software that allows web servers to recognize the computer used to access a website. Cookies store information accessed through your browser to streamline activities on related web sites, and make the online experience easier and more personalized. Information gathered through cookies and web-server log files may include information such as the date and time of visits, the pages viewed, IP addresses, links to/from any page, and time spent at a site. We use cookie data to measure web traffic and usage activity on the Site for purposes of improving and enhancing the functionality of the Site and to better understand the sources of traffic and transactions on the Site. Cookies also allow our servers to remember your account information for future visits and to provide personalized and streamlined information across related pages on the Site. Log files are used to monitor, measure, analyze, improve, and troubleshoot our Services.
In order to understand and improve the effectiveness of our advertising, we may also use web beacons, cookies, and other technology to identify the fact that you have visited the Site or seen one of our advertisements, and we may provide that information to one or more third party advertising networks. The information we provide may include the time and date of your visit to our website, pages viewed, links clicked and other non-personally identifying information. Those advertising networks may recognize the web beacon or cookie associated with your visit to our Site when you visit other websites on which they serve advertising, and they may make decisions about the advertisements you see based on it. This website allows consumers to “opt out” of the behavioral advertising delivered by member companies. Additional information on that program can be found here.
If you wish to opt out of having cookies set on your browser, the only way to ensure that this happens is to manage the settings on your web browser to delete all cookies and disallow further acceptance of cookies. For more information, refer to your browser’s technical information. You may also consider visiting aboutcookies.org, which provides helpful information about cookies. Note that disabling cookies on your browser prevents us from tracking your activities in relation to the Site. However, it may also disable features available through the Site. We therefore recommend that you leave cookies enabled.
NOTIFICATIONS AND OPT-OUT PREFERENCES
There are several types of notifications you may receive from SquadFusion, detailed below. You may control the method used to send and to opt out entirely of some types of notifications. If you have further questions about these notification types, contact firstname.lastname@example.org.
Account-related and registration-related notifications. We will send email notifications to you upon certain account-related actions, such as a password change or request to change. We will also send notifications when you register for overall participation with a Customer, including any payment you submitted or balance you owe. These notifications are for your security, and you cannot change them.
Event, and Squad communication notifications. If event reminders are set up by Customer administrators, we will notify you according to your preferences. You may opt to receive reminders via email and/or SMS, or to not receive them. You may similarly opt to receive or not receive automatic notifications of event and Squad activity.
Ad-hoc notifications from administrators and coordinators. Certain Users have the ability to write messages and send notifications using the application. You can opt to choose how you receive these notifications.
SquadFusion mailing list notifications. If you wish to subscribe to our company updates, we will send them to you using the email address you provide. That email address can differ from your main email address. You may opt out of these notifications by following the opt-out instructions we include in each notification. You may also contact us at email@example.com to update your preferences.
SECURING YOUR INFORMATION
We have implemented commercially reasonable precautions, including, where appropriate, password protection, encryption, and secure socket layering to protect our Sites and the information we collect from loss, misuse and unauthorized access, disclosure, alteration, and destruction. Please be aware that despite our best efforts, no data security measures can guarantee 100% security all of the time. Please keep this in mind when disclosing any of your personal information via the Internet.
You should take steps to protect against unauthorized access to your password, computer, and web-enabled devices, among other things, by signing off after using a shared computer, inserting a password on your web-enabled device, choosing a password that nobody else knows or can easily guess, keeping your password private, and periodically changing your password. You should never share your log-in information with others. We are not responsible for any lost, stolen or compromised passwords, or for any activity on your account via unauthorized password activity.
Unless otherwise specified, we will retain your information for as long as your account is active or as needed to provide you services. If you wish to cancel your account or request that we no longer use your information to provide you services contact us at firstname.lastname@example.org. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
